Registration and distribution matrix

Purpose

The "Registration and Distribution Matrix" module is accessible via e-file Light and is an integral part of the Fundsquare UCITS IV service offering. It enables the sharing of information in order to make the interprofessional work of the fund industry more efficient.

Description

There are two distinct workflows:


Status manually set through the registration and distribution matrix module
Status set through the notification module (automatically) or manually
Status automatically set through the notification module
X - not registered
E - to be registered
A - registration in progress (selection of an instrument at the step 2 of the notification)
AT - Registration in progress - Forwarded to the CSSF (transmission of the notification) AR - Registration in progress - Rejected by the CSSF (Reception of a technical of business KO feedback from the CSSF) N - See sub statuses for notification
NT - Reception of a OK feedback from the CSSF NR - Reception of a KO feedback from the HOST authority NA - Reception of a OK feedback from the HOST authority R - registered

An initialization of your fund universe is carried out using an Excel file. You need only, for each country and each share, complete the "registration" and/or "distribution" worksheets with the appropriate statuses.

Following this, by using the using the Registration and Distribution Matrix module of e-file Light, you can manage the progress of the two workflows via bulk changes or on a line by line basis.

Note

When a Luxembourg fund is notified via the e-file notification module, the matrix is automatically updated.
For more detail, please refer to the scheme displayed here (the orange and yellow statuses may be automatically updated by the notification tool).

The Registration and Distribution Matrix module

This consists of a series of three screens:



Selection of a fund

VIEW
To find a fund, there are various search criteria available (ISIN, country of distribution, ...).

The result shows only active funds. Closed funds are not shown.

You can then edit (if your account gives you access to editing) or check the status of a fund by country by clicking the appropriate button.


Consultation and setting-up the matrix

The screen displays, vertically, the fund tree of the selected fund (only active shares, or shares in anticipated creation; closed shares are not displayed). The list of countries of distribution are displayed horizontally. The status of a particular ISIN for a particular country is displayed at the intersection of the ISIN line and country column. You can navigate between workflows via the tabs in the header.

You can reduce the list of ISIN by using the filters available in the header (status, country of distribution, ...)

CONSULTATION mode: this allows you to view and export the complete matrix to Excel and to consult status details, ISIN by ISIN, country by country. You cannot edit anything here.

EDIT mode: this allows you to advance the status of workflows, remove incorrect statuses and add countries of distribution for a selection of ISINs. You can also export the complete matrix to Excel and view status details, ISIN by ISIN, country by country.

When a checkbox is selected it is highlighted with an orange border. Use the "select all" box, available at fund and sub-fund level for greater efficiency.

Note

The registration workflow status "R" is displayed for information purposes, in relation to an ISIN in a country.

Detailed view

The detailed view shows the history of changes made to an ISIN by country.

An "i" indicates a comment. This is can be viewed via a mouseover.

You can:

  • remove the latest status created by clicking the "delete" button
  • add a status whose effective date is later than the latest status created and that fits into the logical progression of the statuses.

Errors

Three types of errors are possible via the interface:

Errors are highlighted clearly with a red background. They are kept until you clear the error list. This list is automatically cleared after you log out. A mouseover action over a cell marked as an error will display an explanatory message.

You can filter the ISINs affected by errors by using the filters in the errors bar, automatically displayed in the header when needed.

Remarque

Statuses from applying e-file notification can not be deleted. They are displayed for information only, when fund notifications are made by the Notification application.
