Accessing the Document management screen

The 03 | Document Management screen is available only if at least one share in at least one country has been selected in step 2.

Description

VIEW

The screen is divided into two parts:

The left side shows the fund tree, which is restricted to the instruments concerned with the notifications in progress. The levels shown are UCITS, subfunds, if required, and share classes. You can open or close the tree by using the "open / close" feature, or partially, by proceeding by level.

NOTE:

  • the fund tree is restricted to the shares selected in step 02 | Marketing of shares and to documents already indexed for such shares, for all countries.
  • inactive shares are displayed in the fund tree if their closure occurs during a notification in progress for the UCITS concerned or when the closure occurs after the transmission of a notification (more info).

For each instrument, you can see the following information:

  • Number of documents uploaded
  • Number of documents required
  • Number of errors

VIEW

This information is calculated

  • Either by instrument: the count that is displayed concerns the parent instrument only, and not the sub-instrument, in the case of a subfund or a fund.
  • Or by total: the count displayed is the sum of the counts of the parent instrument and its sub-instruments.

The right side shows the list of documents required (for information) as well as the documents you have already indexed and added to your workspace.

Add and index a document

VIEW

Technical limit: a maximum of 200 files can be downloaded.

To add a document, click on the "Add documents" link at the the top right of the screen: a new window (the indexing screen) opens. Clicking again on "Add documents" opens a window that enables you to navigate through your personal files and select the necessary documents.

Documents added can then be named in accordance with the standard defined by the CSSF: this is the indexing phase.

TIP: The CSSF codes for subfunds and shares classes can be pre-filled by clicking on the instrument in question in the fund tree, before you click add document.

NOTE : If the name of your document matches the UCITS 4 naming rules, all the various are pre-filled.

The following is displayed:

You can delete your document by clicking "Delete". It is then removed from the list of documents to index.

The “Check” column indicates if the required information on the documents is included.

Change / delete an indexed document

VIEW

Each indexed document is automatically added to the notification of each country when:

To customize your notifications, you can change the list of countries to which the document is sent. To do this, click on the “Change” link. A new window opens with all indexing data.

You can delete a document from your workspace, whether or not it is attached to a notification. It will no longer appear in the list of documents available for the fund.

To delete a document, click on the "delete" link in this window.

When a document is incorrect, it can be deleted directly from the fund tree.

Manage all documents

VIEW

All documents that you have indexed and added to your workspace are displayed.

You can refine list by using the various available criteria above the result table.

The “Check” column indicates the document's status. A tooltip with a description appears when you put your mouse over.

If available, you can modify or view each document.

You can delete several documents at the same time by marking the wished documents. Click on the "delete" link available at the left bottom corner of the window.

The first checkbox at the left top of the result table allows to choose all the documents.
